Introduction
Import from document (Smart Import) extracts structured claim data from a PDF or image and lets you review, resolve conflicts, and apply fields into a new or existing claim. Files are used for extraction only — they are not stored as part of the import.
When to use it
- Starting a claim from an existing SSA form, medical intake, or similar packet.
- Filling gaps on an open claim from a scanned or exported document.
- After a firm custom form is fully signed, use Review & sync in the documents drawer to run the same review flow on that signed PDF.
How to open it
Common entry points:
- New claim — Choose Import from document when starting a claim (Quick Action / start-claim flow).
- Existing claim — Open the intake workspace and use the import path your firm uses for that claim (same Import from document dialog).
- Review & sync — On a completed firm custom form in Documents, choose Review & sync to seed the signed PDF into this dialog automatically.
Upload and extract
- Upload a PDF, JPG, or PNG (size limit is shown in the dialog — typically up to 20 MB per file).
- Wait while the document is analyzed.
- Review extracted fields grouped by SSA-style form (for example SSA-16, SSA-3368, work history).
- For larger packets, split pages and use Add another after the first import if needed.
Review conflicts and apply
- Include or exclude individual fields before applying.
- On an existing claim, the dialog highlights conflicts where imported values differ from what is already on file. Choose whether to keep the existing value or take the imported one.
- Apply to create a claim or merge into the open workspace.
- Extra values that do not map cleanly may be saved as a claim note for follow-up.
Always verify sensitive fields (SSN, dates, contact) against the source document before filing.
Custom form Review and sync
For firm custom letters (fee agreements and similar), Review & sync uses an extraction path tuned for identity and contact fields on those PDFs. Normal Import from document uploads keep the standard SSA-oriented extract. In both cases you still review before merge.
